Under General supervision of the Clinic Manager with routine interaction and guidance from the Non Clinical Operations staff. Duties/Responsibilities:Answers telephones in department and takes accurate messages.Greets visitors to clinic and handles vendors.Extends special attention and sensitivity to all patients and visitors.Checking all patients inScheduling initial and upcoming appointmentsDemonstrates a willingness to act as a representative of the company.Participates in and encourages actions that promote good public relations with patients, families, visitors and the community.Verify benefits/eligibility on each patient prior to start date, new calendar year, motor vehicle accidents/personal injuries and/or returning patients older than 90 days.Inform patient of estimated out of pocket expense explaining in detail what the patients responsibility will be.Obtain authorization, if necessary, from the appropriate contact (i.E. adjuster, case manager, insurance carrier, etc.) Once complete, input the detailed information into the computer system.Enter accurate patient demos, insurance information and all other necessary information into the system/software currently used.Scans all records from referring doctors as well as internal paperworkResponsible for patient collections of copays, deductibles and/or co-insurance amounts and payment arrangement plans for recurring monthly payments, with patients active and discharged including current and past due balancesCompletion of remote deposit and corresponding reports for all over the counter payments received and forwarded on a weekly basis to the correct contact at the corporate office.Fax and/or mail progress notes, daily notes, requested medical records and any other clinical request received as needed from any outside insurance company, work comp adjuster, case manager, attorney and all other applicable requestor.Orders supplies, checks inventory, maintains records and preparation of boxed items needed for appropriate storage.Demonstrates the ability to fill requests for equipment and supplies.Maintains an accurate record of orders including but not limited to new patient packets, returned referral reports, AR reports and any other report as needed.Check file to ensure work is being done and kept current including any system task or email requests.Types, files, makes copies, handles mail distribution, and takes minutes for departmental meetings.Shows the ability to handle typing projects, file all patient information properly, and make copies as needed.Provides clinic manager, therapist or other personnel with daily, weekly and other reports as needed or requested.Accurate record keeping of therapy licenses, clinic and/or operational licenses.Maintains cleanliness and organization of the front desk and reception area.Other job duties as assigned.Required Skills/Abilities:Ability to navigate EMR system (Entering new patient information/scheduling/attaching documents)Experience calling insurance companies and verifying insurance (finding out benefit information: deductibles, OOPs, coinsurance, copay, pre-authorization requirements)Ability to understand and explain insurance benefit information to new patientsUnderstanding of claim processing in regards to payments and denialsSpecialized experience with requesting PT authorizations for specific insurance companies (UHC/GEHA/Humanaetc.)Experience with obtaining motor vehicle accident billing information and knowledge of liable party billing proceduresExperience assisting a therapist/chiropractor in a clinic setting with patient care (tech experience)Excellent verbal and written communication skills.Excellent interpersonal and customer service skills.Excellent customer service skills.Excellent organizational skills and attention to detail.Excellent time management skills with a proven ability to meet deadlines.Ability to function well in a high-paced and at times stressful environment.Proficient with Microsoft Office Suite or related software.Protect confidentiality in all areas as applicableEducation, Licenses, Certifications and Experience:High school diploma or equivalent required.Associates Degree preferred.Medical office experience preferred, including experience verifying and filing claims.Physical Requirements (Subject to Reasonable Accommodation):Keyboarding/dexterity: frequently; activity exists up to 75% of the timeCommunication: ability to read, speak, and hear in English.Strength: sedentary position (exerting up to 10lbs of force occasionally)Standing/Walking: Occasionally; activity exists up to 25% of the timeWorking Conditions:This position will be in an indoor climate-controlled environment with occasional travel with exposure to outdoors elements.
